Application & Registration

What is the difference between application and registration?

Students interested in attending Keyano College must apply, or complete an application, before they are accepted into a program. Acceptance is not guaranteed. Students must submit all of the required documents and meet all admission requirements before full acceptance is granted. Registration is the process by which students are enrolled in courses. Registration cannot take place until a student has applied and has been conditionally accepted or fully accepted into their program of choice.

How do I apply to Keyano College?

Prospective students and current students applying to change programs apply online. Please call Keyano College to pay your application fee once the application is submitted. All programs at Keyano College require students to submit official high school transcripts as well as any post-secondarytranscripts.

Is there an application fee?

International applicants must submit $100 (CAD) non-refundable application fee before their application is considered. All other students must submit $40 (CAD). We recommend that this fee should be submitted early in the process so that there are no delays in processing your application. More instructions are found here.

What are the application deadlines for various programs?

The majority of programs at Keyano College do not have application deadlines -- applications are accepted until the program is filled. Some programs such as Nursing and Drama are usually over-subscribed so it is important to apply early if you are interested. Please refer to the appropriate program for more information on application deadlines. The Trades, Heavy Equipment, and Apprenticeship programs have intake dates throughout the year.

Where can I find the admission requirements for the program I want?

Admission requirements can be found in our calendar or information about general entry requirements can be viewed here. For specific program requirements you will need to refer to the appropriate section in the calendar.

How do I know if I have been accepted to a program that I applied for?

Keyano College student advisors process applications and send letters to students on an ongoing basis. These letters confirm that we have received your application and may also inform you of what requirements have not been met. Acceptance into a program is also communicated by letter. If you have not received a letter in a timely fashion indicating where you stand with regards to admission please contact a student advisor in the Office of the Registrar.

Can I still take courses if I don't meet the requirements?

Many departments at Keyano College allow students to complete courses even though the requirements have not been met. Often students are classified as "non-program" students or "special" students. There is a limit to the number of courses you can complete without fully qualifying for the program. Often students can complete the admission requirements at the same time as enrolling in selected courses. On the other hand, some departments do not allow non-program students to enrol in their courses. Please contact a student advisor for more details.

What is TOEFL?

The TOEFL exam is the "Test of English as a Foreign Language". International students should arrange to take the test and submit the official results when they apply to Keyano College (or any post-secondary institution). A score of at least 550 (paper-based) or 213 (computer-based) is required for entrance. Canadian students need not present TOEFL.

Transcripts

Do I need transcripts for acceptance to a program?

Yes, official transcripts are required for admission into all programs at Keyano College.

What is the difference between official and unofficial transcripts?

Official transcripts are official when they are sent directly to Keyano College from the issuing institution (the province, college, university, etc.). Transcripts are also official if they are brought in or mailed in by the student, unopened, in an envelope sealed by the institution. Transcripts are unofficial when they are photocopied, faxed, or opened by the student.

Where do I get my official high school transcripts?

For most provinces you must contact the appropriate governmental department directly and apply to have your transcripts sent to Keyano College. You may find contact information for each province and territory here. International applicants must contact their institution for appropriate procedures.

Do I need to submit new transcripts if I have already attended Keyano in the past?

No. If you had submitted transcripts to us in the past we still have them. You may have to resubmit transcripts if you have taken a course at another institution and you are returning to Keyano College.

How do I send my Keyano College transcripts to another institution?

Students must apply to have their transcripts sent to a specific institution. Remember: transcripts must be sent directly to an institution or they are unofficial.

How much do Keyano College transcripts cost?

Keyano College transcripts cost $7.50 (plus tax) per copy. We will also charge you an extra $7.50 (plus tax) if you want transcripts faxed to an institution.

Registration

When and how do I register?

Registration for the entire academic year begins the first week of April for most programs that follow the regular college schedule. For information on Trades, Heavy Equipment, and Apprenticeship program application and registration procedures please contact an advisor in the Office of the Registrar. All students must contact a student advisor to register in courses.

Is there a registration fee?

No, but students are required to pay a $100 deposit at the time of registration. This $100 holds a place in a program for the student and students will not be registered without this deposit. The deposit is not an extra fee as it is deducted from the tuition amount.

How do I know what classes I should register in?

Many programs at Keyano College, such as Trades, Environmental Technology, and EMT, do not offer students any choice as to which courses you need to take. Students usually enrol in these courses all at once. Other programs, such as Business Administration, College Preparation, and University Studies, allow students to chose relevant courses, in the order they prefer. For specific program requirements you will need to refer to the appropriate section in our calendar or click on the appropriate program on our website. An advisor is also available to help you with course selection at the time of registration.

What is the difference between a credit and a non-credit course?

Credit courses are courses that can be used as credit towards a certificate, diploma, or degree. Non-credit courses (also called "Continuing Education") cannot be used as credit towards a credential and are usual general interest courses or courses that are geared towards a specific skill. How do I register in a non-credit course?

To register in Continuing Education ("non-credit") courses please contact us at 780-791-4801 or complete the registration form (which can be downloaded here). Students must pay full fees for Continuing Education courses at the time of registration.

How do I drop or add a course after I have registered?

Some programs do not allow students to drop or add courses as students register in the program and not individual courses. For programs that allow students to add or drop courses, please note that the student is responsible for dropping a course or program after registration, not the instructor. The student must complete a Change of Registration form or speak to a student advisor. Courses will not be added or dropped if the student does not inform the Office of the Registrar. The student will be responsible for fill tuition if Office of the Registrar is not informed of dropped courses. What is the difference between a part-time and a full-time student?

A full-time student, by Keyano College standards, is a student that is enrolled in 60% of a full course load in their specific program. Anything less than 60% of full course load is considered part-time. Please note that different programs have difference credit requirements. For example, University Studies (full course load of 15 credits per semester) requires enrolment in 9 credits for full-time status whereas the Early Childhood Diploma - Year 1 (full course load of 22 credits per semester) requires enrolment in 14 credits for full-time status. Please contact a student advisor for more information on your program. Note that some organizations (scholarships, student loans, funding agencies, etc.) require more than 60% of a full course load.

Fees

Where can I find how much a program is going to cost?

Information about fees can be found here at our website or in our current academic calendar. Fee assessment forms can also be printed for you at the front desk of the Office of the Registrar after you have registered in a program.

When is the deadline to pay my fees?

The deadline to pay fees for the semester for most programs is by the end of the 5th working day from the start of the semester. If fees are not paid by the deadlines a late fee of $100 will be charged. Please refer to the information here at our website for more information.

Where can I pay my fees?

Fees can be paid in person at the cashier in at Office of the Registrar. The cashier will accept cash, personal cheque, debit card, money order, Visa, American Express, and Mastercard. Fees can also be paid online through your bank -- you may need to contact your bank to set up Keyano College for bill payment. Be prepared to use your student ID number to set up the system.

Are book costs included in my fees?

No, book costs are never included in the fees that are charged by Keyano College. Fees include tuition, Student Association fees, and athletic fees. To find our more about the cost of books please visit the bookstore.

Where can I go if I need tutoring?

The SKILL Centre is a great place to get the help you need to complete a course successfully.

Where can I find information on student loans or financial aid?

The Financial Aid officer is available in the Office of the Registrar to answer your questions on student loans and provide financial aid information. You may contact the Office of the Registrar at 780-791-4801 to arrange an appointment or find more information online.

Where can I find scholarship information?

Keyano College offers numerous scholarships each year including entrance scholarships, The Excellence Scholarship, athletic scholarships and Fall Awards. Every year Keyano College awards over $300,000 to its students. More information about scholarships can be found online or you can speak with the Office of the Registrar.

Where can I pick up my student ID card after I have registered?

ID cards can be picked up in the Facilities department Monday - Friday between 8:30 and 4:30.

Where can I apply to single or family residence?

Students must apply to the single or family residence offices directly if they are interested in taking advantage of our residences. Visit the Student Housing area for more information.

I am moving to a Keyano residence, what should I bring?

When moving to a Keyano Housing facility (single or family residences) the suggestions below may be helpful to you:

• Robe - for going to and from the showers
• Laundry bag or basket
• Toiletry items including hair dryer/curling iron

• Bathroom basket for carrying your shower essentials to and from the shower

• Items to personalize your room such as posters, plants and pictures
• "Fun Tack" or reusable adhesive to hang up posters
• Recreation Equipment (Raquetball Rackets, Basketball ... )
• Laundry soap
• Hand soap
• Dollar coins and quarters for laundry and vending machines
• Study lamp that does not have a combustible or plastic cover
• Headphones for your stereo or computer
• School supplies
• Bath mat, toilet paper and cleaning supplies
• Address book and e-mail addresses for family and friends
• Health card and any medication you need
